How we build an agent, step by step
- Scope. We list the conversations the agent should handle and those it must hand to a person. Anything involving money, health or a complaint has a clear human path.
- Facts. We gather your information (offer, prices, hours, rules) and you confirm it. The agent answers from that, and says it does not know rather than guess.
- Connect. We set up the official WhatsApp Business Platform on your number and connect the agent to your booking, order or CRM tools.
- Dry run. The agent runs in dry-run mode: it drafts what it would do, without doing it. You and your team read the logs.
- Go live with a cap. Once you approve, it goes live with a daily usage cap and an off switch your team can use.
- Review. We read the logs, fix wrong answers, add missing facts, and adjust the handover rules.
WhatsApp's rules, which shape every agent
Opt-in. Meta requires businesses to obtain opt-in permission before messaging people on WhatsApp, to state clearly that the person is opting in to messages from that named business, and to explain how to opt out — and honour it. The Business Messaging Policy adds that you must respect any request to block or stop communications, on or off WhatsApp.
Escalation. The policy allows automation when responding within the 24-hour window, but requires "prompt, clear, and direct escalation paths" such as a transfer to a human agent, a phone number, an email or a support form. Our handover is built for that from day one.
AI as the product. Meta's terms for the WhatsApp Business Platform prohibit providers of AI technologies such as large language models or general-purpose AI assistants from using the platform when that AI is the primary functionality offered. An agent that books tables or follows up renewals for your business uses AI as a means, not as the product; we keep agents within that scope.
How WhatsApp charges, in plain words
Since 1 July 2025, Meta charges per delivered template message, with rates that depend on the template category (marketing, utility, authentication) and the recipient's country. When a customer writes to you, a 24-hour customer service window opens: non-template messages are free inside it, and utility templates delivered within an open window are free too. Meta's own fees are paid by you on your WhatsApp Business account. Details in our guide to WhatsApp Business pricing.
In practice, an agent that mostly answers customers who wrote first costs little in Meta fees; campaigns of marketing templates are a different budget, and we never send them without your approval.
Telling people they are talking to an AI
The EU AI Act's transparency rules, which the European Commission says apply from August 2026, mean that people using a chatbot should be made aware they are interacting with a machine. Our agents say so in their first reply, wherever you operate. The data the agent handles stays in your accounts, and we keep only what the purpose needs.

Questions we get
Will the agent pretend to be a person?
No. It says it is an AI assistant and offers a way to reach a person. Your team can take over any conversation.
Can it answer voice notes?
Yes. We have tested voice-note answers, including in Kiswahili. Quality depends on the language and the audio, so we test with your customers' real messages first.
What stops it from going wrong?
A dry-run phase before launch, a daily usage cap, an off switch, human handover, and a log of every action that we review.
Can it send promotions to all my contacts?
Only to people who opted in, with approved templates, and only after you approve the campaign. Marketing templates are charged by Meta per delivered message.
Do I keep my WhatsApp number and data?
Yes. The number, the Meta Business account and the conversation data stay in your name.
