Why most CRMs end up empty

A CRM fails when entering data costs more than it gives back. Too many fields, stages nobody understands, leads that must be copied by hand from emails. Our approach is the opposite: the fewest stages that describe your real process, leads that arrive by themselves, and one view that answers the questions you actually ask on Monday morning — who must I call, what is stuck, what came in.

How we set it up

  1. Map how you sell. A short conversation about how a deal goes from first contact to signature, and where it gets lost.
  2. Choose the tool. We work with the CRM you already have when it can do the job; otherwise we recommend one that fits your size, in your name.
  3. Design the pipeline. Stages, the few fields that matter, the definition of each stage so everyone uses it the same way.
  4. Import and clean. Existing contacts and deals, duplicates merged, opted-out people flagged.
  5. Connect. Website forms, chat, outreach replies and ad leads flow in automatically.
  6. Train and review. A short session with your team, then a review after a few weeks to remove what nobody uses.

Data rules built in from the start

A CRM is a file of personal data, so data protection rules apply to it, not just to your website. The GDPR requires that data be kept no longer than necessary for its purpose (Article 5) and that people can object at any time to prospecting, after which their data is no longer used for it (Article 21). The CNIL's reference for commercial management allows keeping prospect data for three years from collection or the prospect's last contact; after that it must be deleted or archived unless the person confirms interest.

For opt-outs, the CNIL describes a suppression list (liste repoussoir) to exclude people durably from new prospecting, recommends keeping only what is needed — ideally a fingerprint (hash) of the email or phone number rather than a list of names — keeping it at least three years, and never using it for anything else. We set up exactly that, and connect it to every tool that sends messages.

Will leads from my website go in automatically?

Yes. Forms, chat and campaign leads are connected so they arrive with their source, without copying by hand.

How long can I keep prospects in the CRM?

The CNIL's reference for commercial management allows three years from collection or the prospect's last contact; then delete or archive unless the person confirms interest.

What happens when someone asks to stop receiving emails?

They go on a suppression list that every sending tool checks, kept as a minimal fingerprint as the CNIL recommends, so they are not contacted again.

Do you build custom CRMs?

We run our own pipeline in an internal system we built. For clients, we usually configure an existing CRM; a custom build is a separate web app project.
