Why speed and one place matter

A lead is a person who asked for something, often from several companies at once. If the request sits in a shared inbox until the next morning, someone else has already called. And when leads come from several sites, forms and campaigns into different places, nobody can say which channel works. One central system with an instant alert fixes both: the right person knows within minutes, and every lead carries its source.

We run exactly this for our own websites: one central lead API receives the forms of all our sites, sends an alert within two minutes and files each lead. On 27 of our sites, a "talk to a pro" block lets visitors ask to be put in touch with a professional, with their explicit consent to that transfer.

How we set it up

  1. Inventory. Every form, chat, call-back button and booking widget across your sites, and where each one sends its data today.
  2. One endpoint. All of them post to one lead system, which records the source page, campaign and consent.
  3. Alerts. Rules for who is alerted, how and when (for example, by area or by service).
  4. CRM. Each lead is filed in your CRM with its status, so follow-up is tracked (see CRM setup).
  5. Tracking. Each submission is recorded as a conversion in your analytics and ad platforms (see tracking).
  6. Checks. A test lead goes through each form every week; a broken form raises an alert.

The rules on personal data and partners

A form collects personal data, so the GDPR requires telling people who is responsible for the processing, for what purposes and on what legal basis (Article 13). Each of our forms states it in one or two plain lines next to the button, with a link to the full notice.

Passing a lead to partners is more sensitive. The CNIL explains that when contact details are passed on for electronic prospecting, the recipient must either already be named in the list of companies the person agreed to receive messages from, or obtain that consent itself beforehand; and the person must be told the source of their data at the latest within a month. For consumers, the CNIL requires prior consent for prospecting by email or SMS, through a positive action such as an unticked box. Our "talk to a pro" blocks therefore use an unticked consent box naming who the request goes to.

Leads are not kept forever: the CNIL's reference for commercial management allows keeping prospect data for three years from collection or from the prospect's last contact, after which it must be deleted or archived unless the person confirms interest.

How fast are alerts?

Our own setup alerts within two minutes of a form being submitted. The channel (email, team chat, WhatsApp) is your choice.

Can leads go straight into my CRM?

Yes. Each lead is filed in your CRM with its source and consent, and duplicates are flagged.

Can I pass leads to partners?

Only with the person's explicit consent to that transfer, given at the time of the request, and with the recipients named. That is how our "talk to a pro" blocks work.

How long can I keep leads?

The CNIL's reference allows keeping prospect data for three years from collection or the prospect's last contact; after that, delete or archive it unless the person confirms interest.

Do I have to change my website?

Usually not. We connect your existing forms to the lead system and shorten them where useful.
